Legal Assistant - Private Client - Solihull

We are looking for an experienced legal assistant to join our Private Client team based at our office in Solihull.
To be successful you will have a strong secretarial and administration background. In addition, you will be a well organised self-starter who is able to work independently to ensure that tasks are completed to a high standard. Confidence in dealing with clients in a professional manner, both on the telephone and in person, is essential.
Key tasks include but not limited to:
- Preparing initial contact with new clients, and dealing with all online enquiries for the Midlands area.
- Deal with routine client correspondence.
- Providing monthly client updates on matter progression.
- Providing monthly costs for matters.
- Managing matter lists.
- Preparing bills and managing debtor lists.
- Managing archiving of matters.
- Opening, closing and ongoing orderly maintenance of all files in accordance with firm’s quality standards and Lexcel compliance.
- Handling correspondence from court and Land registry.
- Preparing bills for the Midlands area.
- Responsible for the organisation, safe custodian and release of Wills, Lasting Power of Attorney’s, Probates and other associated legal documents.
- Attend to clients both in person and on the telephone in a manner in keeping with the firm’s high standard of client care.
- Create and maintain client records on the firm’s database ensuring that all correspondence and file notes are recorded on the system, in accordance with HCB’s and Lexcel’s requirements.
- Ability to liaise with other departments and offices across HCB Network.
- Produce client correspondence and enclosures for mailing including client bills.
- Ensure the confidentiality of the client and firm’s information and documentation at all times.
- Maintain client hard copy files including copying, storage and retrieval of information.
- Request payments, record receipts of client monies. And liaising with the accounts department
- Handling overflow client calls
- Other duties as required to ensure the efficient running of the office.
- Managing of the Midlands area team diaries.
Hours: Mon – Fri 09.00 – 17.15
Holiday: 25 days plus Bank Holidays
Salary: Dependent on experience
